This Booking Policy explains the procedures, responsibilities, and conditions governing reservations made through our company. It is intended to ensure that every booking is handled accurately, fairly, and in accordance with our operational standards, applicable laws, and the contractual requirements of our travel partners.

This Policy applies to all travel services offered by Nuvago Travel, including reservations made through our website, email, WhatsApp Business, telephone, social media platforms, or any other official communication channel.

By requesting a quotation, confirming a reservation, making a payment, or using any of our travel services, you acknowledge that you have read, understood, and accepted this Booking Policy together with our Terms & Conditions, Privacy Policy, Payment Policy, and Cancellation & Refund Policy.

1. Purpose

The objective of this Policy is to provide a transparent, fair, and consistent framework governing the reservation of travel services through Nuvago Travel. It defines the respective rights, responsibilities, and obligations of both the Company and the traveler while promoting accuracy, operational efficiency, regulatory compliance, and customer confidence throughout the booking lifecycle.This Policy is intended to minimize misunderstandings, reduce booking disputes, establish clear communication standards, and ensure that reservations are administered in accordance with applicable laws, supplier agreements, and internationally recognized travel industry practices.

2. Scope of Application

This Policy applies to every reservation, booking request, quotation, itinerary, amendment, or travel service arranged, sold, managed, or facilitated by Nuvago Travel, whether made directly or through any authorized communication channel.The Policy applies regardless of whether the booking is completed through:
  • The official Company website;
  • Email correspondence;
  • Telephone communications;
  • WhatsApp Business;
  • Official social media accounts;
  • Authorized sales representatives;
  • Corporate agreements;
  • Travel consultants acting on behalf of the Company.
Unless expressly agreed otherwise in writing, this Policy governs all travel arrangements provided by the Company, including but not limited to:
  • Private Tours;
  • Group Tours;
  • Luxury Travel Packages;
  • Tailor-Made Holidays;
  • Nile Cruises;
  • Hotel Reservations;
  • Airport Transfers;
  • Transportation Services;
  • Sightseeing Excursions;
  • Day Tours;
  • Corporate Travel;
  • Travel Consultation Services.

3. Definitions

For the purposes of this Policy, the following terms shall have the meanings assigned below unless the context expressly requires otherwise:“Company” means Nuvago Travel, including its employees, representatives, and authorized agents.“Traveler” means any individual whose travel arrangements are booked, confirmed, or managed by the Company.“Lead Traveler” means the individual submitting the booking request and acting on behalf of all travelers included within the reservation.“Booking Request” means an inquiry or request submitted to the Company seeking availability or pricing for travel services and shall not constitute a confirmed reservation.“Quotation” means a written price proposal prepared by the Company based upon information and availability existing at the time it is issued.“Booking Confirmation” means the written confirmation issued by the Company confirming that the requested travel services have been accepted and secured, subject to the applicable booking conditions.“Supplier” means any independent third party responsible for providing all or part of the travel services, including hotels, airlines, cruise operators, transportation companies, destination management companies, excursion providers, insurance providers, or any other service provider.“Travel Services” means every service arranged, reserved, or facilitated by the Company, whether individually or as part of a package.

4. Acceptance of this Policy

By requesting a quotation, submitting a booking request, making a payment, confirming an itinerary, accepting a travel proposal, or using any travel service arranged by Nuvago Travel, the traveler acknowledges that they have read, understood, and agreed to be legally bound by this Policy together with all other applicable Company policies.Where a Lead Traveler completes a booking on behalf of additional travelers, the Lead Traveler confirms that they have the authority to accept these booking conditions on behalf of every traveler included within the reservation and accepts responsibility for communicating the contents of this Policy to those travelers.Electronic acceptance, digital correspondence, online confirmations, payment of deposits, electronic signatures where applicable, or written confirmation transmitted through the Company’s official communication channels shall each constitute valid evidence of acceptance of this Policy to the extent permitted by applicable law.

5. Formation of the Booking Agreement

A contractual booking agreement between Nuvago Travel and the Traveler shall only be formed after all applicable booking requirements have been satisfied and the Company has issued an official written Booking Confirmation.For the avoidance of doubt, any of the following actions, whether occurring individually or collectively, shall not in themselves constitute acceptance of a booking or create a binding travel contract:
  • Submitting an inquiry through the Company’s website or any other communication channel;
  • Requesting availability or pricing information;
  • Receiving a quotation or travel proposal;
  • Participating in preliminary travel planning discussions;
  • Submitting personal information for quotation purposes;
  • Making a payment that remains subject to supplier confirmation or verification.
A booking shall become contractually binding only when all of the following conditions have been fulfilled:
  • The Company has accepted the booking request;
  • The requested travel services have been confirmed by the relevant Supplier(s), where applicable;
  • Any required deposit or payment has been successfully received and verified;
  • The Company has issued an official Booking Confirmation through its authorized communication channels.
Until the Booking Confirmation has been issued, the Company reserves the right to decline, modify, suspend, or cancel any booking request due to unavailability, operational limitations, pricing revisions, compliance requirements, payment verification issues, or any other legitimate business reason.

6. Booking Procedure

To promote transparency and operational accuracy, bookings are administered through a structured reservation process. While individual bookings may vary depending on the nature of the requested services, reservations generally proceed through the following stages:
  1. Submission of a travel inquiry by the Traveler.
  2. Assessment of travel requirements by the Company.
  3. Preparation and issuance of a customized quotation.
  4. Review and acceptance of the proposed itinerary by the Traveler.
  5. Verification of availability with the relevant Supplier(s).
  6. Payment of any required deposit or applicable booking amount.
  7. Supplier confirmation of the requested services.
  8. Issuance of the official Booking Confirmation.
  9. Collection of any remaining balance, where applicable.
  10. Issuance of travel documentation, vouchers, or final itinerary.
  11. Commencement of the booked travel services.
The sequence above is intended to describe the Company’s standard reservation process and may reasonably vary depending upon the specific travel arrangements, destination, Supplier requirements, or operational circumstances.

7. Booking Requests

Every booking request submitted to the Company shall be treated as a request for reservation only and shall remain subject to review, availability, operational feasibility, and acceptance by the Company.Submission of a booking request does not guarantee that the requested itinerary, accommodation, transportation, travel dates, or other travel services will remain available until confirmation has been issued.The Company reserves the right to request additional information or supporting documentation where reasonably necessary to process, verify, or complete a booking request.Incomplete, inaccurate, inconsistent, or misleading booking requests may result in processing delays, modification of the requested itinerary, or rejection of the booking request.
8. Quotations
Unless expressly stated otherwise in writing, every quotation issued by Nuvago Travel is provided solely for informational purposes and shall not constitute a legally binding offer or guarantee of availability.Quotations are prepared using pricing, exchange rates, taxes, Supplier availability, and operational information available at the time of preparation.Prior to the issuance of a Booking Confirmation, quoted prices may reasonably change due to circumstances including, but not limited to:
  • Changes in Supplier pricing;
  • Exchange rate fluctuations;
  • Government taxes or regulatory charges;
  • Fuel surcharges or transportation costs;
  • Seasonal demand;
  • Changes in availability;
  • Operational requirements beyond the Company’s reasonable control.
Should any material change occur before confirmation, the Company will make reasonable efforts to notify the Traveler and, where appropriate, provide an updated quotation or suitable alternative arrangements.

9. Traveler Eligibility

To make a booking with Nuvago Travel, the Lead Traveler must possess the legal capacity to enter into a binding contract under the laws applicable in their jurisdiction. By submitting a Booking Request, the Lead Traveler represents and warrants that they satisfy all legal requirements necessary to enter into this contractual relationship.Where a reservation includes multiple Travelers, the Lead Traveler confirms that they are duly authorized to act on behalf of every individual included within the booking and accepts responsibility for providing accurate information relating to each Traveler.The Company reserves the right to request reasonable evidence of identity, authority, or legal capacity whenever considered necessary for compliance, fraud prevention, or operational purposes.

10. Responsibilities of the Lead Traveler

The Lead Traveler shall serve as the Company’s primary point of contact throughout the booking process unless otherwise agreed in writing.The Lead Traveler is responsible for:
  • Providing complete, accurate, and up-to-date booking information;
  • Reviewing quotations, itineraries, confirmations, invoices, and travel documents before accepting them;
  • Communicating all applicable booking conditions to every Traveler included within the reservation;
  • Obtaining the consent of all Travelers prior to accepting any quotation or confirming any booking;
  • Ensuring that all Travelers comply with this Policy and any applicable Supplier conditions;
  • Promptly notifying the Company of any errors or discrepancies identified in booking documents.
Unless otherwise required by applicable law, the Company shall be entitled to rely upon instructions received from the Lead Traveler as being authorized on behalf of every Traveler included within the booking.

11. Accuracy of Booking Information

The Traveler is solely responsible for ensuring that all information submitted to the Company is complete, accurate, and consistent with the official travel documents that will be used during the journey.Information requiring particular attention includes, but is not limited to:
  • Full legal names exactly as shown in passports or national identity documents where applicable;
  • Date of birth;
  • Nationality;
  • Passport number and expiration date;
  • Visa status, where applicable;
  • Residential address;
  • Email address;
  • Telephone number;
  • Emergency contact information;
  • Medical information voluntarily disclosed for travel arrangements;
  • Special assistance requirements.
The Company shall not be responsible for any delay, financial loss, denied boarding, refusal of entry, cancellation, or additional expenses resulting from inaccurate, incomplete, outdated, or misleading information supplied by the Traveler. Any corrections requested after Supplier confirmation may be subject to additional charges, administrative fees, or Supplier-imposed penalties.

12. Verification of Booking Documents

Immediately upon receipt of any quotation, itinerary, invoice, booking confirmation, travel voucher, airline ticket, hotel confirmation, or other travel documentation, the Traveler shall carefully review every detail for accuracy.Without limitation, Travelers should verify:
  • Traveler names;
  • Travel dates;
  • Destination details;
  • Accommodation information;
  • Flight details, where applicable;
  • Transfer arrangements;
  • Room categories;
  • Passenger information;
  • Special requests recorded within the reservation.
Any discrepancy should be reported to the Company without undue delay. Failure to notify the Company promptly may limit the Company’s ability to obtain corrections from the relevant Supplier.

13. Special Requests and Accessibility

Travelers are encouraged to communicate any special requests at the earliest possible stage of the booking process to allow the Company sufficient opportunity to coordinate with the relevant Supplier.Examples of special requests include:
  • Accessible accommodation;
  • Wheelchair assistance;
  • Reduced mobility support;
  • Medical equipment requirements;
  • Dietary requirements;
  • Child facilities;
  • Infant equipment;
  • Adjacent or connecting rooms;
  • Celebration arrangements;
  • Religious or cultural considerations.
The Company will use reasonable efforts to communicate such requests to the relevant Supplier; however, unless expressly confirmed in writing, special requests shall not constitute contractual obligations and cannot be guaranteed.Certain accessibility services or special arrangements may be subject to Supplier approval, local regulations, operational limitations, or additional charges beyond the Company’s control.

19. Passports, Visas, and Immigration Requirements

The Traveler is solely responsible for obtaining and maintaining all passports, visas, permits, vaccination certificates, health documentation, and any other travel documents required by the destination country, transit countries, or relevant governmental authorities.Any information or guidance provided by the Company regarding entry requirements is supplied for general informational purposes only and should not be considered legal or immigration advice. Entry requirements may change without prior notice, and Travelers are encouraged to verify all requirements with the relevant embassies, consulates, airlines, or governmental authorities before departure.The Company shall not be liable for denied boarding, refusal of entry, deportation, travel delays, financial losses, or additional expenses arising from incomplete, inaccurate, expired, or invalid travel documentation.

20. Medical Fitness to Travel

Each Traveler is responsible for determining whether they are medically fit to undertake the planned journey and for seeking appropriate medical advice where necessary prior to travel.Travelers are encouraged to disclose, at the earliest practical opportunity, any medical condition, disability, reduced mobility, allergy, dietary restriction, or other circumstance that may reasonably affect the safe provision of travel services.The Company will make reasonable efforts to communicate relevant information to the applicable Supplier where such information has been voluntarily provided by the Traveler. However, the availability of medical assistance, accessibility services, or special facilities remains subject to Supplier capabilities, local infrastructure, and operational limitations.Failure to disclose material medical information that significantly affects the Traveler’s ability to participate safely in the booked travel services may result in the modification, restriction, or cancellation of certain services where reasonably necessary for safety or operational reasons.

21. Traveler Conduct

Travelers are expected to conduct themselves in a respectful, lawful, and responsible manner throughout the duration of their journey.The Traveler shall comply with all applicable laws, regulations, safety requirements, and reasonable instructions issued by the Company, Suppliers, local authorities, accommodation providers, transportation operators, guides, or other authorized personnel.The Company reserves the right to refuse or terminate the provision of travel services where a Traveler’s conduct reasonably endangers the safety, comfort, property, or rights of other individuals, disrupts the operation of the booked services, or violates applicable laws or Supplier policies.

22. Third-Party Suppliers

Many travel services arranged by the Company are provided by independent third-party Suppliers operating under their own contractual terms, operational procedures, and service standards.While the Company exercises reasonable care in selecting reputable Suppliers, it does not own, control, or directly operate hotels, airlines, cruise companies, transportation providers, attractions, or other third-party service providers unless expressly stated otherwise.The performance of travel services remains subject to the operational decisions, availability, and contractual conditions of the relevant Supplier.

23. Booking Amendments Requested by the Traveler

Requests to modify a confirmed booking should be submitted to the Company as early as reasonably possible.All amendment requests remain subject to Supplier approval, operational availability, contractual conditions, and any applicable fees imposed by the relevant Supplier or permitted under the applicable booking terms.The Company cannot guarantee that every requested amendment will be possible after a reservation has been confirmed.

24. Operational Changes

From time to time, operational circumstances beyond the Company’s reasonable control may require adjustments to confirmed travel arrangements.Where reasonably practicable, the Company will promptly inform the Traveler of any significant operational change and will use reasonable efforts to provide suitable alternatives where available.Operational changes may arise from Supplier decisions, transportation schedules, governmental measures, weather conditions, safety considerations, or other unforeseen operational circumstances.

25. Force Majeure

Neither the Company nor the Traveler shall be deemed to be in breach of this Policy where the performance of contractual obligations is prevented, delayed, or materially affected by circumstances beyond reasonable control.Such circumstances may include, without limitation, natural disasters, severe weather conditions, epidemics, pandemics, governmental actions, armed conflict, terrorism, civil unrest, strikes, transportation disruptions, or any other extraordinary event that could not reasonably have been anticipated or avoided.Where a Force Majeure event occurs, the Company shall use reasonable efforts to minimize disruption and communicate available options to the Traveler, subject to Supplier policies and applicable law.

26. Limitation of Liability

Nothing in this Policy excludes or limits any liability that cannot lawfully be excluded or limited under applicable law.Subject to the foregoing, the Company’s responsibility shall be limited to the proper performance of the travel services that it has expressly agreed to arrange. The Company shall not be responsible for losses arising from acts or omissions of independent third-party Suppliers, governmental authorities, or events beyond its reasonable control.

27. Compliance with Laws and Sanctions

The Company and the Traveler agree to comply with all applicable laws, regulations, sanctions, export controls, anti-fraud measures, and other legal requirements relevant to the booking and provision of travel services.The Company reserves the right to refuse, suspend, or terminate any booking where required by applicable law or where continuation of the booking would expose the Company to legal, regulatory, or compliance risks.

28. Official Communications

Unless otherwise agreed in writing, official communications relating to bookings may be transmitted through the Company’s recognized communication channels, including email, telephone, WhatsApp Business, the official website, or other authorized digital platforms.The Traveler is responsible for ensuring that accurate contact details remain available throughout the booking process and for reviewing communications received through those channels.

29. Governing Law and Dispute Resolution

This Booking Policy shall be governed by and interpreted in accordance with the laws of the Arab Republic of Egypt, without prejudice to any mandatory consumer protection rights that may apply under applicable law.The Parties shall endeavor to resolve any dispute arising from or relating to this Policy through good-faith negotiations before pursuing any formal legal proceedings. Where no amicable resolution can be achieved, disputes shall be submitted to the courts having competent jurisdiction in the Arab Republic of Egypt, unless otherwise required by applicable law.
